Role Description: ICPA Event Support, Membership and Administration Officer
Job Type: Contract
Hours: 20 – 40 hours per week

The International Corrections and Prisons Association (ICPA) is a global non-profit, member-based organization dedicated to promoting best practices, research, and collaboration in the field of corrections and prisons. The ICPA brings together professionals from the public, not-for-profit, private, and academic sectors to advance the understanding and advancement of humane and effective correctional practices across the world.
 
Role Overview
The ICPA Project Support, Membership, and Administration Officer will play a crucial role in supporting the successful operations of the ICPA, including undertaking critical tasks regarding ICPA’s annual and thematic conferences, managing membership-related activities, and handling a range of administrative tasks. This is a remote, work-from-home role with some international travel required (one to three events per annum for one to two weeks per event).

Responsibilities:
 
Event Support:
  • Assist in planning, organizing, and executing ICPA events, including conferences, workshops, and webinars.
  • Coordinate with vendors, venues, and service providers for event logistics.
  • Support event registration processes and speaker and attendee communication.
  • Work closely with host organizations from a range of international jurisdictions.
  • Assist in the clean-up of registration data to in ICPA’s event management processes.
  • Provide on-site support during events, ensuring smooth operation and addressing any issues that arise.
  • Create detailed registration lists and exports tailored for sponsors.
  • Generate event registration reports to provide the team with insights.
  • Contribute to structured archiving processes for materials from past, present, and future events.
 
Membership Management:
  • Process new memberships and renewals and respond to member inquiries.
  • Maintain accurate and up-to-date membership records in the database.
  • Contribute to the development of membership engagement strategies and initiatives.
  • Support in data cleansing efforts to maintain the integrity of ICPA’s contact databases.
 
Administration:
  • Perform a range of administrative tasks including correspondence with members and other key stakeholders, and office organization.
  • Assist in preparing reports, minutes, and documentation related to meetings and events.
  • Support the maintenance and utilization of centralized systems and online services.
  • Undertake other tasks as requested by the Executive Director, Business Manager, and Events Manager, ICPA.
 
Qualifications and Skills:
 
 
Qualifications, Skills, and Experience:
  • Experience in event planning, administration, or a related field.
  • Strong organizational skills with the ability to handle multiple tasks simultaneously.
  • Excellent communication and interpersonal skills, with a focus on customer service.
  • Ability to communicate respectfully cross-culturally.
  • Proficient in Microsoft Office Suite and comfortable learning new software.
  • Familiarity with CRM systems or membership databases is beneficial.
  • Relevant qualifications in Event Management, Business, Marketing, Communication is advantageous.
 
Other:
  • Fluency in written and verbal English is required. Knowledge of other languages is advantageous.
  • Familiarity with the corrections and prisons field, criminal justice, or related sectors is desirable.
  • Self-motivated and able to work independently, as well as collaboratively, within a remote working environment.
  • Strong organizational skills and attention to detail.
