Role Description
 
Position: ICPA Business Support (Contractor)
Hours: 30 – 40 hours per week
Location: Flexible/Remote, with some international travel required
Language: English
Contract Range: $20,000 - $35,000 (depending on experience and hours)
 
About ICPA:
The International Corrections and Prisons Association (ICPA) is a global non-profit, member-based organization dedicated to promoting best practices, research, and collaboration in the field of corrections and prisons. ICPA brings together professionals from the public, not-for-profit, private, and academic sectors to advance the understanding and advancement of humane and effective correctional practices across the world.
 
Role Overview
The ICPA Business Support contract role is responsible for providing essential administrative and event support to ensure the smooth functioning of the Association. This includes performing a range of administrative tasks relating to membership and the overall functioning of ICPA as well as support for ICPA’s online and in-person events. The Business Support contractor reports to the Business Manager, ICPA.
 
Responsibilities:
 
Administration
  • Perform a range of administrative tasks to support the successful work of the Association, including correspondence with members and other key stakeholders, virtual office organization, and finance-related tasks.
  • Assist in organizing meetings and preparing reports, minutes, and documentation related to meetings and events.
  • Support the maintenance and utilization of centralized systems and online services.
  • Undertake basic photo editing (e.g., retouching, resizing) and edit video content (e.g., trimming, adding text/effects), while maintaining attention to detail.
  • Undertake other tasks as requested by the Executive Director, Business Manager, and Events Manager, ICPA.
Membership
  • Undertake communication with members as directed by the Executive Director and/or Business Manager, ICPA.
  • Support the processing of new memberships and renewals and respond to member and external inquiries as required.
  • Maintain accurate and up-to-date membership records in the database.
Event Support
  • Provide event support related to ICPA events, including conferences, workshops, and webinars.
  • Support event registration processes, upload relevant information pre- and post-events, and undertake speaker and attendee communication as required.
  • Work closely with host organizations from a range of international jurisdictions.
  • Lead on the clean-up of registration data as directed by the ICPA Business Manager and in accordance with ICPA’s event management processes.
  • Provide on-site support during events, ensuring smooth operation and addressing any issues that arise.
  • Generate event registration reports to provide the team with insights.
  • Contribute to structured archiving processes for materials from past, present, and future events.
  • Undertake other tasks as requested by the ICPA Executive Director and ICPA Business Manager.
Qualifications and Skills:
 
Qualifications, Skills, and Experience:
  • Experience in event planning, administration, or a related field.
  • Strong organizational skills with the ability to handle multiple tasks simultaneously.
  • Excellent communication and interpersonal skills, with a focus on customer service.
  • Ability to communicate respectfully cross-culturally.
  • Proficient in Microsoft Office Suite and comfortable learning new software.
  • Familiarity with CRM systems or membership databases is beneficial.
  • Relevant qualifications in Event Management, Business, Marketing, Communication, or a similar field is advantageous.
  • Basic proficiency in photo editing, graphic design, and video editing is desirable.
Other:
  • Fluency in written and verbal English is required. Knowledge of other languages is advantageous.
  • Familiarity with the corrections and prisons field, criminal justice, or related sectors is desirable.
  • Self-motivated and able to work independently, as well as collaboratively, within a remote working environment.
