This media protocol outlines the guidelines and procedures for all media activities related to the conference. It aims to ensure consistent communication, maximise media coverage, and maintain the professional image of the event while protecting the interests of all participants.
 
2. Media Accreditation
2.1. Eligibility Criteria
 
Accreditation is available to journalists, photographers, videographers, and other media professionals representing established media outlets, including:
 
  • Print and online publications
  • Television and radio stations
  • News agencies
  • Industry-specific publications
2.2. Application Process
 
All media representatives must complete the accreditation process:
 
  1. Complete the online Media Accreditation Form available here
  2. Provide proof of media affiliation (press card, letter from editor, etc.)
  3. Submit a brief description of planned coverage
  4. Agree to the terms and conditions of this media protocol
Application deadline: One week before the conference (late applications may be considered on a case-by-case basis)
 
2.3. Accreditation Confirmation
 
Media representatives will receive confirmation of their accreditation status via email within 3-5 business days of submitting their application. Approved media will receive:
 
  • Media badge and credential kit
  • Media information package
  • Invitation to media-specific briefings and events
3. Media Access
Media representatives are only permitted to attend the following sessions:
 
  • Opening session on Day 1
  • Opening session on Day 3 (Host Day)
  • Closing session on Day 4
Media may record in the foyer and exhibition areas immediately before and after these authorised sessions. However, they must not remain at the venue at any other time, unless they have received approval from ICPA for an interview. All media requests for additional access or interviews must be submitted directly to Laura Andrite for review and authorisation.
 
3.1. Designated Media Areas
 
The following spaces are designated for media operations:
 
  • Plenary room: opening and closing sessions
  • Press Conference Room: For official press conferences and media briefings
  • Interview Zone: Designated area for one-on-one interviews
4. Content Guidelines
4.1. Photography and Videography
 
Rules for visual coverage:
 
  • Photography and videography are permitted in all public areas unless otherwise indicated
  • Tripods and large equipment must not block pathways or emergency exits, or block the livestream equipment
  • Photographers/videographers must respect the "no media" indicators when displayed
  • Camera operators must use designated positions during keynote sessions
4.2. Recording and Broadcasting
 
Guidelines for audio/video recording:
 
  • Recording of sessions is not permitted, and the recordings cannot be published in their entirety without permission
  • Short recordings of speeches for the news are permitted
  • Official conference hashtags must be used for social media publishing
  • Attribution to speakers and the conference is required for all published content
5. Interview Procedures
5.1. Interview Requests
 
Process for arranging interviews with speakers, organisers, or participants:
 
  1. Submit interview requests through the Media Manager at least 24 hours in advance to [email protected].
  2. Provide details on proposed interview topic, duration, and publication plans
  3. The Media Manager will coordinate with the requested individuals and confirm availability
  4. Last-minute interview requests will be accommodated when possible

6.1 Media Kit

  • Press releases and background information
  • Conference logos and approved imagery (usage guidelines apply)

Rules for live social media coverage:
 
  • Live tweeting/posting is encouraged for public sessions
  • Please respect "social media blackout" indicators for sensitive sessions
  • Attribute quotes correctly to speakers
  • Do not share content from sessions marked "off the record"
  • Please tag the official conference accounts
8. Post-Conference Materials
The following materials will be made available after the conference:
 
  • High-resolution photos from the event (where requested and approved)
  • Post-conference press release
9. Media Protocol Compliance
By accepting media accreditation, all media representatives agree to:
 
  • Adhere to this media protocol in its entirety
  • Follow the instructions of the Media Relations Team and event staff
  • Respect the privacy and rights of all conference participants
  • Report accurately and fairly on the conference
  • Acknowledge that violation of this protocol may result in the revocation of media credentials
